Timeesha clarified the difference between brand voice and marketing voice:

  • Brand voice is how your audience perceives your brand; it’s what people say about you based on their interactions and impressions.
  • Marketing voice is what you say about your own brand, representing your intentions and messaging.

Pro Tip: Strive for alignment between these two voices. While your brand voice should feel authentic and resonate with your audience, your marketing voice should also actively reinforce that perception of your audience as well.

Characteristics of an Effective Brand Voice

Timeesha outlines three key pillars essential for building an impactful brand voice:

  • Uniqueness and Memorability: Your brand voice should stand out in a crowded market. Identify distinct characteristics by using ChatGPT for prompts like:
    • Prompt: “Analyze my content for its unique phrases, tone and recurring themes. What elements make this voice memorable and distinct from competitors?”
    • Example AI Response: “Your brand voice frequently uses optimistic language and energetic calls-to-action, making it feel approachable and motivating.”
  • Consistency Across Platforms: A cohesive voice across all channels (social media, email, website) reinforces loyalty and recognition. To ensure consistency, try using the following prompt.
    • Prompt: “Analyze the tone and style in these social media posts. Is the voice consistent across posts? How could we improve for consistency?”
    • AI Response: “To maintain a cohesive voice, focus on using the same language style across posts. Consider using friendly, informal greetings on all platforms rather than alternating between formal and casual.”
  • Audience Connection: A voice that resonates emotionally fosters a sense of belonging and encourages shareability. To enhance connection, try the following prompt.
    • Prompt: “Based on this content, what adjustments could we make to resonate emotionally with [a target audience, e.g., millennial moms]?”
    • AI Response: “Using language that emphasizes empathy and shared experiences like ‘We get it’ or ‘Our community understands’ can strengthen the connection.”

Discovering Your Brand Voice With AI

1. Identify Your Current Voice

Use ChatGPT to upload files or cut/paste your existing content and uncover your brand’s current tone and personality.

  • Prompt: “Analyze the following blog posts, social media posts and emails. Identify the common tone, personality and style traits.”
  • Example Result: “Your voice is upbeat and educational, using exclamations to create energy and simple language for approachability.”

2. Refine Your Tone

Once you know your current voice, ChatGPT can help refine it to better suit your brand’s goals or audience preferences.

  • Prompt: “Refine our brand voice to be more [e.g., motivational and reassuring] across all customer touchpoints. Provide suggestions for adjusting our current style.”
  • AI Suggestion Example: “Use more inclusive phrases like ‘Together, we can …’ and motivational language that inspires action, such as ‘Empower yourself to make change.’”

3. Test Tone Consistency With CustomGPTs

Creating a CustomGPT allows for more tailored suggestions, ensuring tone consistency across all content.

  • Creating your CustomGPT:
  1. Open ChatGPT.
  2. On the sidebar, click “Explore GPTs.”
  3. Then, in the upper-right-hand corner, click “Create GPT.”
  4. This will open a new sidebar with two tabs: “create” and “configure.” In the “create” tab, follow the on-screen prompts and train the chatbot using blog posts, social media posts and emails (like we called out above).
  5. Then, switch to the “configure” tab, filling out the on-screen information, including:
    1. Name: What do you want to call your GPT?
    2. Description: What does your GPT do?
    3. Instructions: How does your GPT behave? Is there anything it should avoid doing?
    4. Conversation starters: These are on-screen suggestions you’ll see after launching your CustomGPT.
    5. Knowledge: Add any additional information you need ChatGPT to know, which could include FAQs, marketing strategy, etc. This knowledge will be included as part of any conversation launched with the CustomGPT.
    6. Capabilities: This would allow or disallow your GPT to browse the web, generate imagery and perform coding/data-analysis tasks.

Case Study: AI-Supported Content Creation for Internal Campaigns

Timeesha shared her experience using ChatGPT to streamline content creation for a corporate campaign focused on fostering employee engagement around volunteering and supporting an internal employee relief fund. Without ever laying eyes on previous internal communication memos from her client, she built a CustomGPT using the framework outlined above to support her AI-powered outreach campaign. Here’s how ChatGPT supported her efforts:

1. Internal Newsletters: Timeesha used ChatGPT to craft concise, empathetic newsletter sections that resonated with employees.

  • Prompt Example: “Create a 150-word newsletter section with a warm, community-driven tone to raise awareness for an upcoming charity event.”
  • Result: The language was warm, direct and effective, keeping the message brief yet impactful. Timeesha generated multiple versions using AI, then she combined the best of both for the final version.

2. Spotlight Features: For highlighting individual team-member contributions, ChatGPT generated respectful and personalized copy.

  • Prompt Example: “Write a 100-word spotlight honoring a team member’s contributions. Maintain a tone of respect and admiration.”
  • Sample Output: “This month, we recognize [Name] for their tireless support and inspiring resilience. Their contributions have uplifted us all and continue to strengthen our community.”

3. Social Media Posts: To promote events and encourage engagement, ChatGPT created short, motivational social media posts with a supportive tone, aligning seamlessly with the campaign’s messaging.

4. Result: 

  • Her campaign directly led to an increase in the number of “Champions”: from 56 to 369! Champions are individuals who give back to the community through charitable efforts.
  • It raised more than $200 in donations for the company’s internal employee emergency relief fund.
  • Participation in company-led volunteering events jumped from 31% to 42% in two months, surpassing the benchmark of 40% the company had previously been failing to meet.
